About The Role

The role of EA is to support the COO, with the day to day running of their departments, providing comprehensive, confidential and professional administration assistance to ensure the needs of the COO are met.  

Key Responsibilities
  • Provide comprehensive secretarial, administrative & personal support to COO whilst maintaining confidentiality at all times
  • Some diary management, ensuring meeting rooms are booked and providing the necessary documents/material in advance of meetings
  • Processing & submitting expense claims and corporate credit card charges in a timely manner, using the online systems
  • Arrange all relevant travel and accommodation via the company travel agents for the COO and some of his closest team when required. Creating full travel itinerates, organizing visas and all other travel necessities
  • Arranging and organizing events, such as Management meetings
  • Undertake business & personal ad hoc duties for the COO as and when required
  • Work closely with the other assistants to ensure Exec diaries are aligned and all relevant information is shared
  • Supporting the team when necessary, helping with new starters, tracking holiday and reviewing expense submissions
  • Monitoring COO’s emails, filing and responding where necessary
  • Assisting with presentations
  • Filtering mail and telephone correspondence
  • Working with Finance to raise, approve and track purchase orders
  • 24 hour support for Directors whilst travelling in case of emergencies or last minute changes to schedule
  • Cover for Execs when other assistants are out of the office
  • Previous experience in a PA or EA role
  • Proficient IT skills including  MS Office, ability to learn new systems and processes quickly
  • Excellent administrative skills
  • Strong communication and organisation skills
  • Proactive with an attention to detail
  • Capability to manage multiple streams of work and prioritise workload effectively
  • Professional, confident and enthusiastic team player with a flexible, can do attitude
  • Ability to work independently or as part of a team
